Getting Started

How do I create an account?

Visit novascribe.us and click "Sign Up." You will need a valid email address. Once registered, you can log in from both the website and the iOS app using the same credentials.

How do I log into the iPhone app?

Open the NovaScribe app and enter the same email and password you use on the website. If you do not have an account yet, create one at novascribe.us first.

Recording Patient Encounters

How do I record a patient visit?

  1. Open the NovaScribe app on your iPhone
  2. Tap the Record button
  3. Speak naturally during or after the encounter
  4. Tap Stop when finished
  5. Your recording uploads automatically and AI processing begins
  6. You will receive a notification when your note is ready (usually 1-2 minutes)

Why is my microphone not working?

  1. Check that NovaScribe has microphone permission: iPhone Settings > NovaScribe > Microphone (must be ON)
  2. Make sure no other app is currently using the microphone
  3. Close and reopen the NovaScribe app
  4. Restart your iPhone if the issue persists
  5. Contact support@novascribe.us if none of the above helps

What if I lose internet during recording?

Your recording is captured on your device. If you lose connectivity during upload, wait until your connection is restored and try again. The recording remains on your device until successfully uploaded.

How long can I record?

There is no hard limit. For best results, we recommend recordings under 30 minutes. Longer encounters can be split into multiple recordings.

Clinical Notes

How accurate are the notes?

NovaScribe uses state-of-the-art AI models. The notes are designed to be comprehensive and well-structured. However, you must always review AI-generated notes before using them. AI can occasionally mishear words or make formatting errors.

Can I edit the generated notes?

Yes. After a note is generated, you can review and edit it directly in the app or on the web.

What types of notes does NovaScribe generate?

Does NovaScribe suggest billing codes?

Yes. NovaScribe provides E/M level, CPT, and ICD-10 code suggestions. These are AI-generated recommendations only -- you must review and verify all codes before submission.

What is Literature Search?

Literature Search lets you ask any clinical question and get an AI-synthesized answer drawn from clinical practice guidelines, systematic reviews, and randomized controlled trials. Results include evidence strength grading (Strong, Moderate, or Limited) and verified references linked to the original peer-reviewed sources. Access it by clicking the book icon in the toolbar or pressing Ctrl+E (Cmd+E on Mac).

Free accounts get 5 literature searches per month. Professional accounts get unlimited searches. Literature Search is not available on the Basic plan.

Subscription and Billing

How does billing work?

Subscriptions are billed monthly through Stripe (our payment processor). You can view your subscription status and billing history at novascribe.us/settings.

How do I subscribe or change my plan?

Log in at novascribe.us, go to Settings > Billing, and choose your plan.

How do I cancel?

  1. Log in at novascribe.us
  2. Go to Settings > Billing
  3. Click Manage Subscription > Cancel

You retain access through the end of your billing period. Your notes are never deleted when you cancel.

Why is billing not available in the iPhone app?

NovaScribe subscriptions are managed through our website (novascribe.us), which provides a full billing dashboard with invoices, plan changes, and payment history.

Privacy and Security

Is NovaScribe HIPAA compliant?

Yes. We offer Business Associate Agreements (BAAs) for all subscribing practices. Email hipaa@novascribe.us to request yours.

What happens to my audio recordings?

Audio recordings are permanently deleted within 24 hours of processing. We do not retain recordings after your clinical note has been generated.

Who can see my notes?

Only you. Your clinical notes are accessible only through your authenticated account. NovaScribe staff do not access your recordings or notes during ordinary operations.

How do I delete my account and all my data?

Two options:

  1. In the app: Settings > Privacy > Delete My Account
  2. By email: Contact privacy@novascribe.us

All data is permanently deleted within 30 days.

Troubleshooting

The app will not log in

  1. Verify your credentials work at novascribe.us first
  2. Check your internet connection
  3. Use the password reset option on the website if needed
  4. Force-quit and reopen the app
  5. Contact support@novascribe.us if the issue continues

My note is taking a long time

Note generation typically takes 1-2 minutes.

  1. Check your internet connection
  2. For long recordings (15+ minutes), processing may take up to 3 minutes
  3. Check the Sessions tab for status
  4. If stuck after 5 minutes, contact support@novascribe.us

The app crashed

  1. Reopen the app -- in-progress recordings may be preserved
  2. Check the Sessions tab for your most recent recording
  3. Update to the latest version from the App Store
  4. If crashes repeat, email support@novascribe.us with your device model and iOS version
